Where the industry is

Commercial real estate adopts technology slowly. Deals run on relationships, data sits in proprietary silos, and leases are too varied for simple automation. Language models and purpose-built agents have changed that in specific, measurable places, and left it alone in others.

The change is not about replacing people. It is about the 60% to 70% of a property manager's or analyst's week that goes to reading leases, extracting data, reconciling expenses, drafting letters and building models. Software does those tasks faster and more consistently. People keep the judgment calls, the relationships and the strategy.

Where it helps

Lease abstraction. The most mature application. A 100-page lease becomes 200 or more structured fields in minutes rather than hours. Accuracy is high enough for a first pass. A person still signs off.

Document extraction generally. Offering memorandums, rent rolls, estoppels, insurance certificates. Structured information trapped in unstructured documents is exactly the problem this technology solves.

Valuation modeling. The arithmetic in a DCF should never be generated by a language model. What the model can do is help pick assumptions, benchmark them against market data, flag outliers in the inputs, and make Monte Carlo simulation available without specialist software.

CAM reconciliation. Reading the ledger, the rent roll and the leases at the same time and mapping expenses to each lease's recovery categories. The cross-referencing is what people get wrong with three spreadsheets open.

Correspondence. Reconciliation letters, owner reports, deficiency notices. First drafts that a manager edits rather than writes.

Email triage. Hundreds of tenant and vendor emails a week, sorted by urgency with action items pulled out and responses drafted.

Where it does not

Negotiation. Software can flag a landlord-favorable clause. It cannot tell you whether pushing back will kill the deal.

Local knowledge. It does not know the building across the street lost its anchor last week or that the council votes on a rezoning next month.

Unusual situations. The more standard the document, the better the result. Creative deal structures and one-off lease provisions produce less reliable output.

Responsibility. The professional signs the abstract, the valuation, the reconciliation. The liability for an error stays with the person, and the review has to be real.

What to check before buying

Domain focus. A general chatbot can talk about leases. A tool built for CRE knows recovery methods, measurement standards and the document formats the industry uses. The difference in output quality is large.

Deterministic math. Any financial figure should come from a formula with an audit trail, not from a model's best guess. Extraction and assumption selection are fair game for AI. The arithmetic is not.

Traceability. You should be able to click a data point and see the clause it came from, click a calculation and see the formula, click a valuation and see the assumptions. Black boxes are not acceptable for professional work.

Fit with what you use. Excel, PDF and CSV export. Data formats that Yardi, MRI and the leading analysis software can read. An interface that does not need a training program.

Honesty about uncertainty. Good tools report confidence, flag doubtful extractions, and ask when they do not know. A tool that says "I am not sure about this field" is more useful than one that is confidently wrong.

What comes next

The tools available today handle document analysis, modeling support and operational tasks well. The next step is deeper connection to market data, renewal probability models, and portfolio-level optimization. The professionals learning to work with these tools now will be the ones who use the next generation well. The right mental model is a fast, thorough, tireless junior analyst who needs supervision.
